Role Overview
The Equipment & Compliance Specialist is responsible for overseeing the maintenance,
safety, and regulatory compliance of the company’s fleet and equipment. This role
ensures that all vehicles and assets meet industry standards, legal requirements, and
company policies. The supervisor will coordinate inspections, manage preventative
maintenance programs, and ensure compliance with transportation regulations.
The position is accountable for managing the equipment maintenance budget, tracking
repair and operational costs, and identifying cost-saving opportunities without
compromising safety or performance. The supervisor is also responsible for producing
regular reports on fleet health, maintenance trends, compliance status, and cost
analysis to support data-driven decision-making by leadership. Through detailed
documentation and reporting, the role supports internal audits, insurance reviews, and
regulatory inspections while driving continuous improvement in equipment reliability and
compliance.
Key Accountabilities
Equipment
- Fleet Maintenance & Repairs – Oversee the maintenance and repair of all
company vehicles and equipment to ensure they remain in safe and operational
condition in both Toronto & Montreal. - Develop and enforce a structured maintenance schedule to prevent breakdowns
and extend equipment lifespan - Ensure all vehicles undergo regular inspections and meet DOT, FMCSA, CVOR,
and other regulatory requirements. - Manage relationships with repair shops, parts suppliers, and service providers for
efficient maintenance and repairs. - Maintain accurate records of equipment usage, condition, and availability to
optimize fleet performance. Maintain a PO log for all 3rd party vendors - Develop protocols for handling equipment failures, breakdowns, and emergency
repairs to minimize downtime - Assist in evaluating and acquiring new vehicles and equipment based on
operational needs and compliance standards - Track warranties and service contracts to ensure timely repairs and cost-effective
maintenance. - Maintain detailed records of all equipment maintenance, compliance reports, and
expenditures. Provide leadership with data-driven insights to support
decision-making. - Regulatory Compliance Oversight – Ensure all fleet operations comply with DOT,
FMCSA, CVOR, IFTA, IRP, and other federal, state, and provincial transportation
regulations. Measure companies CVOR and FMCSA SAFER scores monthly
Budget and Cost Management - Monitor the annual fleet maintenance and compliance budget.
- Monitor expenditures on repairs, parts, service providers, and equipment
replacements. - Track and analyze trends in repair frequency, parts usage, and vendor
performance to support data-driven maintenance planning. - Analyze costs and identify opportunities for savings through improved efficiency,
vendor management, or asset replacement. - Assist in capital planning for fleet upgrades or new equipment purchases.
- Evaluate and manage vendor contracts and performance related to fleet services
Reporting and Documenting - Maintain accurate, up-to-date documentation for maintenance activities,
inspections, and compliance certifications. - Generate regular reports on fleet condition, maintenance KPIs, downtime, and
cost performance. - Provide management with insights and data to support decision-making, budget
reviews, and operational planning. - Support leadership with dashboards that highlight risks, opportunities, and
performance insights. - Collaborate with other departments to provide data and reporting for
cross-functional initiatives (e.g., safety programs, sustainability tracking,
operational planning). - Safety & Audit Readiness – Prepare for DOT, CVOR, or other regulatory audits
by maintaining accurate records, logs, and documentation. Address any
compliance gaps proactively

Qualifications - 2+ years of experience in equipment and compliance maintenance.
- Minimum of 3 years' experience in the logistics industry
- University degree or diploma from a recognized post-secondary institution
- Ability and willingness to travel, approximately 1-2 times per month.
