About the Role

We are seeking an organized, proactive Operations Coordinator to serve as the operational backbone for our field workforce. In this role, you will manage end-to-end logistics, scheduling, and resource allocation for a 40-person field team operating across the Greater Toronto Area.

This is a critical role requiring strong analytical skills, rigorous attention to detail, and confident stakeholder management. You will serve as the primary link between field technicians, third-party vendors, and internal leadership, ensuring daily schedules run smoothly, equipment arrives on time, and service disruptions are resolved quickly.

What You'll Do

  • Roster & Shift Management: Build, publish, and maintain weekly schedules and daily dispatch logs for a 40-person field team, proactively managing coverage gaps, shift swaps, and emergency absences.
  • Field Logistics: Coordinate transportation, tooling, and site access requirements to guarantee technicians arrive fully equipped and authorized at client sites.
  • Vendor Management: Liaise directly with third-party suppliers, equipment rental providers, and fleet maintenance partners to procure services, track order fulfillment, and resolve billing or delivery disputes.
  • Data Tracking & Reporting: Maintain core operational sheets and models using advanced Excel functions to track key performance indicators, schedule adherence, resource utilization, and operational costs.
  • Incident Response: Act as the first operational escalation point for field personnel facing on-site access, equipment, or timing conflicts during standard operating hours.
  • Process Optimization: Continuously evaluate dispatching workflows, scheduling protocols, and communication channels to reduce downtime and eliminate administrative redundancies.
  • Cross-Department Coordination: Partner with internal operations, compliance, and management teams to relay field feedback, safety updates, and contractor documentation.

What You'll Bring

  • Professional Experience: At least 2–4 years of experience in an operations coordination, logistics, or dispatch role supporting mobile, field, or technical workforces.
  • Advanced Excel Skills: High proficiency in Microsoft Excel (e.g., nested functions, VLOOKUP/XLOOKUP, pivot tables, data consolidation, conditional formatting) to manage schedules, rosters, and operational metrics.
  • Vendor Management Capabilities: Direct experience managing external vendors, validating service-level agreements, reviewing invoices, and negotiating delivery timelines.
  • High-Volume Coordination: Proven ability to juggle conflicting priorities, urgent real-time schedule modifications, and multi-channel communications without compromising accuracy.
  • Communication: Exceptional written and verbal communication skills, with the ability to maintain composure, assertiveness, and clarity when managing distributed field staff.
  • Local Presence: Ability to work on-site/locally in Toronto, ON to support regional operations and team coordination.

Nice to Have

  • Prior experience working within field service management (FSM) platforms, dispatch software, or workforce management tools.
  • Familiarity with local labor standards and safety guidelines relevant to Ontario field services.
  • Experience managing fleet maintenance schedules or specialized asset tracking.
