Administration & Coordination Assistant – Spencer Mancini Wealth Management

take initiative, enjoy working collaboratively, and are equally comfortable working
independently. You’re a fast learner, eager to adopt new systems, and proficient in the
Microsoft Office suite. You’re confident without being arrogant, professional without
being stiff.
You are:
- Perfectly bilingual in spoken and written French and English
- A university graduate (Bachelor’s degree required)
- Ideally experienced in wealth management or a related field
- Committed to working in-office five days a week
- Discreet, respectful of industry regulations, and mindful of confidentiality
- Aware of when to be sociable and when to focus
- Passionate about supporting clients as part of their trusted financial team

Your Responsibilities
Prepare Client Onboarding Packages
Organize all required KYC and compliance documents ahead of meetings, ensuring
materials are complete, accurate, and ready for upload to Chronos. Shadowing
supports onboarding process familiarity.
Reception & Client Experience
Greet clients warmly, manage incoming calls, schedule meetings, and ensure a
professional front office presence when needed.
Email & Correspondence Drafting
Draft, proofread, and send clear, professional bilingual (French/English)
communications using Microsoft Outlook. Includes client follow-ups, reminders, and
internal memos.
Report & Document Preparation
Prepare pre-meeting packages, investment summaries, and client-ready documents
using Word and Excel. High attention to detail is a must.
Microsoft Office Proficiency – Especially Excel
Use Excel to create and update spreadsheets, manage data, and support financial
reporting or operational needs. Comfort with formulas, formatting, and efficiency tools is
essential.
Compliance & Regulation Monitoring
Understand and adhere to rules and regulations of the mutual fund and brokerage
environment; assist in ensuring files and communications meet industry compliance
standards.
Calendar & Meeting Coordination
Schedule and confirm appointments, manage advisor calendars, and prepare agendas
and notes for internal or client-facing meetings.
Team Support & Task Delegation
Collaborate with advisors to prioritize tasks, follow up on deliverables, and proactively
identify where support is needed across the team.
Process Improvement & Autonomy
Take initiative to streamline office procedures, identify gaps or inefficiencies, and use
available resources to solve problems without constant supervision.
In-Office Operations & Readiness (5 Days/Week Presence)
Help maintain a professional, organized, and client-ready environment daily. Support
in-person logistics such as file access, printing, hosting meetings, and general
day-to-day office needs that require physical presence and responsiveness
Compensation
The base salary for this role ranges from $60,000 to $70,000, commensurate with
experience.
A performance-based bonus may also be awarded annually.
