Executive Assistant to CEO & Lead Broker

About the job
We’re looking for a sharp, proactive person to support two of our busiest people: our CEO and our
top broker. This isn’t a traditional admin job. You’ll be the first to see opportunities come in, help
organize the chaos, and make sure things move forward when they’re deep in client work. You’ll
bring calm, clarity, and a sense of timing that keeps everything on track.
Mortgage experience is helpful—but not required. If you’re a fast learner who can tell the difference
between a residential and commercial application (or can learn quickly), we’ll teach you the rest.
What matters most is that you know how to communicate clearly, follow up like a pro, and aren’t
afraid to ask questions when something doesn’t make sense.
What You’ll Be Doing:
Be the first point of contact for new inquiries — respond quickly and smartly.
Book and manage appointments across two busy schedules
Keep email, CRM, and shared files organized and up to date
Handle follow-ups, documentation, and key touchpoints with clients
Help move files forward even when others are heads-down
Support marketing and social media tasks.
What We're Looking For:
2+ years of admin, ops, client service, or similar experience
Strong communicator (written and spoken)
Able to work independently without needing handholding
Knows how to juggle a few balls at once without dropping them
Mortgage sales & underwriting experience.
Can recognize when something is urgent — and when it’s not
Tech savvy (comfortable with M365, Excel, CRMs, etc.)
Curious, kind, confident — and not afraid to ask a question or two
